Sharing vital information
We recognise the ever changing flow of vital information around, in and out of every organisation. Traditional IT solutions focus on storing files and providing email services. They ignore the hundreds of snippets of useful information floating around an organisation every day.
OneIS enables organisations to capture all those vital pieces of information. It encourages storing and sharing of information amongst a team by providing a place for any type of information to be stored, making it quick and easy to enter that information into the system.
Indexing
Those vital pieces of information are captured every time a user creates a record in OneIS for each piece of information. We provide a structured representation of otherwise unstructured information, making it easier to store and find any snippet of information.
We encourage quality data entry by ensuring information is described from a controlled list of terms wherever possible. Authors, client names, document types may otherwise be written differently or mis-typed by different users. Choosing descriptions from a controlled list ensures quality data entry, so you don’t risk losing vital information just because the author or client was mis-spelt.
By describing information from terms in controlled lists, those terms can become hyperlinks in the final record. Users can easily discover related information by clicking an author’s name or a subject term to find more information indexed with those terms.
Terms in controlled lists can be linked to alternative terms. When a client changes their name, both the new and old names can be recorded. So when a user searches for the old name, information indexed under both the new and old names is retrieved.
Schema
We provide a business schema with every OneIS. We’ve looked at the information in most organisations and created templates for you to describe your information. We’ve thought about how you’re likely to want to describe each piece of information and already set up the fields you’re likely to need.

Taxonomies
Taxonomies are a powerful tool for helping you describe your information so others can find it more easily.
Taxonomies enable you to:
- browse all information by subject or type
- describe different types of information consistently using the same vocabulary
- use subject hierarchies so a search for fruit retrieves all information on strawberries, kiwis, and bananas even if the documents themselves don’t actually mention the word fruit
- manage abbreviations so a search for UN retrieves documents mentioning only United Nations
- manage synonyms so a search for peppers retrieves documents mentioning only capsicums.
We provide a complementary business taxonomy with every OneIS. This taxonomy covers all the main areas of activity in a business, with common abbreviations and synonyms already included.
